What does Reinhardt Co do?

Reinhardt Co is an AI automation consulting service for owner-operated businesses. We diagnose where AI saves your business real time and money, then build the systems. Common engagements include AI receptionists, intake automation, voice-to-document workflows, scheduling and dispatch, follow-up sequences, and document review. We're a service, not a software product. We connect to the tools you already use.

Are you a software company?

No. Reinhardt Co is a consulting service. Each engagement produces custom AI workflows built around your specific operation, integrated into the practice management systems, CRMs, project management platforms, and accounting software you're already running. You own what we build.

Where is Reinhardt Co located?

Reinhardt Co is based in Bend, Oregon. We primarily serve businesses across Oregon and the Pacific Northwest, with remote engagements available nationwide. Our local market focus is Central Oregon: Bend, Redmond, Sisters, Prineville, and surrounding communities.

Who runs Reinhardt Co?

Reinhardt Co was founded by Steve Reinhardt. He spent 20 years building marketing technology for enterprise clients, founded and operated a CCB-licensed residential construction company, and has spent the last two years deep in AI implementation. Operator and engineer, not just consultant.

Who We Work With

What kinds of businesses do you work with?

Owner-operated businesses running 5 to 50 people across three verticals: medical, dental, and chiropractic practices; trades and home service companies (general contractors, remodelers, HVAC, plumbing, electrical, landscaping); and professional service firms (law, accounting, financial advisors, real estate, agencies). If your business doesn't fit cleanly into one of those, the model still applies — the pattern is an owner who's still the bottleneck on work AI can now handle.

Do you specialize in one industry?

We have the most depth in trades (the founder ran a CCB-licensed construction company), and we've extended into medical, dental, and professional services because the underlying patterns are the same: missed calls, manual intake, repetitive paperwork, and follow-up that falls through the cracks. Each vertical has its own software, terminology, and compliance constraints, which is why we have dedicated medical, trades, and professional services pages.

Do you work with healthcare practices given HIPAA?

Yes. Independent medical, dental, and chiropractic practices are a core vertical. Every workflow uses HIPAA-compliant infrastructure: BAA-signed AI providers, encrypted transit and storage, audit logs, configured data retention. We also know what not to automate — compliance is the design constraint, not a layer added at the end.

What size companies do you work with?

Most engagements are with businesses running 5 to 50 people. That maps to roughly $1M to $20M in annual revenue depending on the industry. If your shop is significantly smaller (a solo practitioner, a 2-person firm) the Quick Audit is the right fit. If you're significantly larger, the engagement model still works but we'll tailor the scope.

Engagements and Pricing

What engagements do you offer?

Four engagements with fixed scopes and transparent pricing. The Quick Audit (3 to 5 days) is a workflow walkthrough producing a ranked list of automation opportunities, credited toward a full assessment. The AI Opportunity Assessment (1 to 3 weeks) is a deeper workflow audit. The Quick Win Build (4 to 8 weeks) implements the top opportunities. The Improvement Retainer is an optional monthly partnership. Ranges vary by industry — see the pricing page for the full side-by-side.

Do I have to do all four engagements?

No. Each engagement stops cleanly. Most clients start with either the Quick Audit or the full Opportunity Assessment, then decide whether to move into a Quick Win Build. The retainer is optional and cancelable monthly. You can stop after the audit if you decide AI isn't the right fit for your business.

What's the difference between the Quick Audit and the Opportunity Assessment?

The Quick Audit is 3 to 5 days and produces a ranked list of the 3 highest-ROI opportunities. It's a low-friction entry point for a business that wants to know whether AI is worth pursuing before committing to a deeper engagement. The full Opportunity Assessment is 1 to 3 weeks and produces a complete workflow audit, 3 to 5 prioritized opportunities, ROI estimates, and an implementation roadmap. Process and Implementation

How does an AI Opportunity Assessment work?

We spend 1 to 3 weeks inside your business mapping current workflows, watching where time is going, and identifying the 3 to 5 highest-ROI automation opportunities. You get a written assessment with each opportunity priced and prioritized, plus a clear implementation roadmap. After that, you decide whether to move into a build.

Do I need to switch software to work with you?

No. We connect to the tools you already use. If you're running Buildertrend and QuickBooks, we work with that. Dentrix and Open Dental, same. Clio, Lacerte, ServiceTitan, HubSpot, Salesforce, all the same. The integrations page lists the platforms we work with directly through APIs, webhooks, or automation bridges. If you're not on any software yet, we help you choose the right foundation.

How long does a Quick Win Build take?

Four to eight weeks for most engagements. We take the top 1 to 2 opportunities from your assessment, build them, test them with your team, and train your staff before we hand off. The fixed scope keeps timelines predictable. Larger or more complex builds get scoped separately as multi-phase engagements.

What happens after the build is done?

You own what we built. The Improvement Retainer is optional and exists for clients who want a continuing AI partner: monthly tuning, new builds as your business evolves, staff training, and direct access to your consultant. Many clients run a build and then move to a retainer once they see the value. Some run a build, finish it, and walk away with the systems running on their own.

Most modern business platforms across our verticals. Medical and dental: Dentrix, Open Dental, Athenahealth, Spruce, Weave. Construction and field service: Buildertrend, JobTread, Jobber, Housecall Pro, ServiceTitan, Fieldwire, JobNimbus, Contractor Foreman, Jobkore. Professional services: Clio, Lacerte, QuickBooks, Salesforce, HubSpot, Zoho. Communication: DocuSign, Google Workspace, Slack, Twilio. Voice AI: Vapi, Retell, ElevenLabs, Deepgram. Do you build custom AI from scratch?

We use modern AI models (Claude, GPT, Whisper, Deepgram) as the foundation, then build custom workflows around them tailored to each client's specific operation. We don't train custom models from scratch, which is rarely needed and prohibitively expensive. The leverage is in the workflow, not the model.

What about data security and privacy?

We work inside your existing tools and data infrastructure. AI providers we use (Anthropic, OpenAI) sign business agreements that prevent training on your data. For healthcare engagements we deploy with HIPAA-compliant configurations and BAAs. For legal and financial engagements we use enterprise-tier API access where data isn't retained or used for model improvement. Your specific security posture is mapped in the assessment phase before any build begins.

Outcomes and Results

What results can I expect?

Specific outcomes depend on what we automate. AI receptionists typically catch 25 to 40 percent of previously missed calls. Voice-to-document workflows commonly cut documentation time from hours to minutes. Intake automation cuts front-desk time per new patient or client by 50 to 80 percent. Follow-up sequences typically recover 15 to 30 percent of leads or patients that would otherwise go cold. We commit to specific, measurable outcomes per engagement.

How do you measure success?

Each engagement has a defined success metric agreed before work starts. For voice agents: booked appointments from previously missed calls. For intake: minutes saved per new patient or client. For documentation: time saved per visit or job. For follow-up: leads or patients reactivated. If a build doesn't move the metric we agreed on, we say so and figure out what to adjust.

What if AI doesn't work for my business?

It might not. Some operations are too small, too custom, or too relationship-driven for the highest-ROI automation patterns to apply. The Quick Audit and Opportunity Assessment are designed to find that out cheaply. If AI isn't the right fit for your operation, we say so. We'd rather lose a build than ship one that doesn't deliver.
